Purpose/Key Responsibility:
To provide administrative support to the whole Apparel team within the Liaison office.
Essential Duties & Responsibilities:
Provide secretarial support to the Department Head;
Routine work, e.g. typing, sending & receiving e-mails and faxes, expense reports, etc.
Daily, weekly and monthly reports consolidation e.g. adiComp report follow up.
Read and route incoming mails and other correspondence.
Clear and precise communication with suppliers & other divisions.
Coordinate and arrange internal and external meetings, prepare agendas, reserve and prepare facilities, record, transcribe and distribute minutes of meetings, Manage department calendars and independently schedule appointments.
•Screen incoming calls and respond independently when possible.
•Organize and maintains internal filing systems and file correspondence and other records.
•Prepares memos outlining and explaining administrative procedures and policies and monitors compliance.
•Arranges programs, events or conferences by arranging facilities and catering and issuing information or invitations.
•Manage the office in the absence of the direct manager.
•Compose and prepare confidential correspondence, reports and other complex documentation.
•Arranges complex and detailed travel plans and itineraries, compiles documents for travel related meetings.
•Provide administrative support to the whole Apparel team such as trip arrangements, car arrangements, etc.
•Other miscellaneous administrative affairs.
•Office activity arrangements
Requisite Education and Experience / Minimum Qualifications:
•Management or Secretarial college degree.
•Excellent verbal and written communication skills within a global business setting.
•Exceptional oral and written English language skills
•At least 3 years related secretarial
